POSITION TITLE: Administrative Assistant II - Workforce Development and Employer Relations
PAY GRADE: 7A
RESPONSIBILITIES (Non-inclusive):
Administrative Support
- Provide administrative support to the Executive Director for Workforce Development and Employer Relations, including managing calendars, scheduling meetings, and coordinating travel.
- Prepare, proofread, and distribute correspondence, reports, presentations, promotional materials, newsletter input, and prepare meeting materials.
- Serve as the primary point of contact for internal and external communications directed to the Executive Director’s office.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Draft meeting agendas, generate meeting materials, record meeting minutes, and follow-up on action items.
- Proactively identify administrative needs, anticipate challenges, and recommend solutions to improve office efficiency.
- Track project timelines, deliverables, and follow-ups to ensure alignment with departmental goals.
- Support budget tracking, invoice processing, and purchase requisitions related to workforce programs.
- Collect, organize, and maintain data for workforce reports, grants, and strategic planning initiatives.
- Maintain accurate records of partnerships, contacts, and program outcomes using CRM or project management tools.
- Assist with marketing and outreach efforts to promote workforce development and community education programs.
- Provide excellent customer service to students, community members, entrepreneurs, and business partners.
- Other duties as assigned.
Digital Badging System Administration
- Maintain and manage Lakeland’s digital badging platform, including issuing, tracking, and updating workforce and academic badges.
- Coordinate with academic departments and workforce development staff to ensure badges accurately reflect program competencies and outcomes.
- Monitor badge data, generate reports, and support continuous improvement of credentialing initiatives.
- Provide guidance and technical support to faculty, staff, and students on the use of the digital badging system.
- Assist in aligning badges with industry certifications and workforce credentials.
ESP / WAVE Program Coordination
- Help coordinate activities within the Entrepreneurial Services Provider (ESP) program and the WAVE entrepreneurial and innovation space.
- Support workshops, events, and programming for entrepreneurs, startups, and small businesses.
- Manage scheduling, logistics, communications, and event promotion for ESP/WAVE programming.
- Maintain records, metrics, and reporting related to program participation and outcomes.
Community Education Program Coordination
- Coordinate and administer community education courses, workshops, and enrichment programs.
- Identify community needs and assist in developing new program offerings aligned with regional workforce and community interests.
- Recruit and support instructors, manage course logistics, and ensure high-quality program delivery.
- Oversee registration processes, participant communication, and program evaluation.
- Collaborate with local organizations, employers, and community partners to expand community education opportunities.
QUALIFICATIONS
A. Education/Training and Experience Required/Preferred
- High school diploma or equivalent and office/administrative assistant experience required.
- Associates degree, preferred.
- An equivalent combination of education and experience which provides knowledge, skills and abilities is acceptable.
B. Knowledge, Skills and Abilities
- Knowledge of modern office practices, procedures, and equipment including database software (Microsoft Access and Excel)
- Skills in oral and written communications; listening and conveying information.
- Basic principles of marketing and public speaking
- Ability to work independently and to establish and maintain effective interpersonal working relationships

C. Physical Activity Level

CONDITIONS OF EMPLOYMENT
- This is a full-time, continuing status staff position.
- Compensation for this position is at 07A on the Staff Salary Schedule. The anticipated hiring range is $19.03/hour – $24/hour.
- The work schedule includes 40 hours per week and requires working flexible hours including evenings and weekends.
- This position requires the incumbent to have a valid Ohio driver’s license and a driving record which qualifies the driver under the College’s insurance program to travel independently to various locations within the state.
