OFFICE ASSISTANT – Student Affairs Sub-Division, specifically the departments of Athletics  

RESPONSIBILITIES (representative): 

  • Greet and welcome student athletes, student leaders, and visitors by providing knowledge of specific departments and general college-wide information. Develop a rapport and positive working relationship with diverse students and colleagues while maintaining a professional atmosphere. 

  • Provide support for posting of student worker positions and new hire paperwork (PARs). 

  • Update and maintain internal and external rosters, including letters of intent and scholarships for varsity athletics. 

  • Provide administrative support for activities including reserving available space (25LIVE) and submitting facilities/maintenance requests (SchoolDude), and food orders (Breakers or outside vendor). 

  • Make department purchases and submit contract/artist payments utilizing Clockshop/credit cards.  Utilize Banner to access department and restricted athletics accounts Maintain records for all purchases, as directed. Reconcile monthly credit card transactions across departments by tracking receipts and utilizing web-based software (Concur) to chargeback transactions to correct funds. 

  • Complete travel approvals through web-based software (Concur) across departments. Assemble and provide coaching staff with associated travel packets.  Create transportation reservations and/or rentals for varsity athletics and student organization travel (i.e., Laketran, Willo, Anderson, Coach, Enterprise, etc.). 

  • Assist with the coordination of events, including end-of-year and Hall of Fame banquets, and student-athlete orientation.  Provide additional staff support for related campus events such as welcome days, campus involvement fairs, welcome week activities and other student events, as needed.  Assist with commencement day festivities and any activities leading up to commencement as needed. 

  • Depending on candidates background and interest, assist with the marketing and sales of advertisements (to include athletic field fence signs, etc.). Another opportunity is to assist with the recruitment of new student-athletes.  This may include activities such as contacting coaches/organizations to assist coaches in developing recruiting lists. Additionally, this person would assist with the collection of necessary paperwork for new students.  

  • Provide general administrative support, e.g., processing mail, posting student worker positions, processing/tracking new hire paperwork (PARs), supporting college-wide committees as appropriate. 

 

QUALIFICATIONS: 

  • Education/Training and Experience 
  • Required:  Associate degree plus at least 5 years’ work experience in positions with responsibility for providing administrative support requiring proficiency with a variety of software packages, attention to detail, flexibility, and an ability to multi-task.  
  • Preferred:  Experience providing direct and indirect support to college student athletes. 

 

Knowledge, Skills, and Abilities 

  • Knowledge of current office practices, procedures, computing and recordkeeping utilities. 
  • Proficiency to utilize computing technology and software applications independently and effectively, including Microsoft Office Suite programs, Banner and SAP/Concur ERP systems, video conferencing software, etc. 
  • Strong organizational skills able to be applied to detailed recordkeeping, order processing, etc.  Ability to organize tasks to complete them in a timely manner.  Ability to respond quickly and appropriately to situations needing immediate attention. 
  • Well-developed verbal and written communication skills; exceptional interpersonal skills and an ability to work collaboratively with others. 

 

CONDITIONS OF EMPLOYMENT: 

  • This is a part-time staff position working 29 hours a week, with flexible schedule options for nights and weekends.
  • The position is assigned to pay grade 7A of the Non-Auxiliary Staff salary schedule.  
  • Please note: The final offer for the successful candidate is targeted to fall within this range but will be based upon an assessment of internal equity, the unit's available budget, and the candidate's qualifications in relation to the minimum and/or preferred job requirement(s).
